Job Duties Regularly o Maintain Employee spreadsheet o Emails o WC submissions  See Arch Insurance Outlook contact for directions  Complete on-going required forms as needed during absence o Safety Meeting organization, records, spreadsheet o EZlabor/Time Attendance review o Terminated employees  Term letter  COBRA medical & Dental o Answer calls from very unhappy clients o Maintain door code security system o Reconcile Petty cash account o Track attendance daily  In eZlabor  Attendance book  Maintain vacation accrual spreadsheet o Track employee loans o Approve Sterling ACH o Allow access to Chemical Room when Dennis isn’t available o Print Tech ID cards Hiring Process o Organize application packets o Create & place ad o Review resumes o Phone screening o Set interviews o Track application process through  drug screening  background screening  2nd interview  Or Thanks but No Thanks rejection letters New Hires o Make job offer o Send offer letter and packet o Organize New Hire Packet o Create personal folder o Email company o Add to Employee spreadsheet o Add to LENS program (monitor DL) Bi-Weekly o Payroll  Reconcile eZlabor  Create batches  Maintain records for upcoming adjustments to payroll (See Payroll folder on computer)  Enter 401K contributions Monthly o Reconcile medical bills  Aflac  Oxford  EyeMed  Disability  Dental o Maintain Employee Count worksheet for WC bill & yearly Medical Plan Audit (See Employee Spreadsheet) o B-day cards monthly o Certified payroll for address & Ossining & Croton (in Payroll folder- spreadsheet) o Hours form for address and Ossining o Send out “You are Eligible for Healthcare” packets (Benefits folder –desktop) o Order Muni Meter cards for address commercial techs Quarterly o Enter employees eligible for LTD o Reconcile WC bill Yearly o HealthCare renewal  Create census (May)  Schedule company meetings  Collect & enter enrollments  Enter terminations  Submit to Cobra o OSHA report o Create staff pay date calendar o Party Planning & shopping  Kickoff  Picnic  Christmas • Organize gift cards • Remember gifts o Order manager gifts (thanksgiving, start in October) o Schedule/promote 401K meeting  Order enrollment books regularly  Send out “You are Eligible” packets o Schedule/promote AFLAC meeting Year End o Create Payroll Folders for new year o Make attendance cards o Create vacation spreadsheet o Archive mail o Close out Petty Cash o OSHA report o 401K compliance  Enter every employee who is eligible and everyone’s W2 wages Travel – (Travel folder w/Template in Documents) o Make reservations for conferences  Register  Car Service  Hotel  flight Executive duties o Keep coffee bar & frig stocked o Keep track of b-days and anniversaries (spreadsheet called Flower order)  Send flowers/gifts o Scan, fax, email documents as needed o Maintain tax records (Taxes folder- desktop) o Maintain personal information  individual named folders on desktop  McHale folder in Documents
