Description

Pilot Freight Services is seeking a full time Payroll Assistant for our Corporate office located in address. The position will be regular business hours, Monday through Friday. Job Summary: • Process Trade Payable Invoices after obtaining approvals and purchase requisitions • Run Trade and Transportation Checks • Assist Payroll by answering calls/emails and resetting passwords in UltiPro. Man Help Desk. • Calculate retro pays, process garnishments, complete Verification of Employment for employees past and current • Assist with Monthly Accounts Payable Close and Payroll Close for CORP/Foreign Payrolls/ and Closes • Back up to Weekly Payroll/AMS Monthly Payroll/CAD Bi-Weekly Payroll Responsibilities: • Assist Payroll in answering calls/emails/resetting passwords/general help desk. • Calculate retroactive pays, complete Verification of Employment for employees past and current, and process garnishments. • Back up for the submission of weekly CORP and AMS/CAD payrolls. Monthly Close for Payroll. Audits. • Other various assignments as required. CONFIDENTIALITY is a must. • Ensure that Trade Payable Invoices (non-transportation invoices) are controlled, recorded, approved, and paid in a timely manner. • Work within the CODA accounting system to process invoices, establish new vendors, general browse, and enter uplinks. • Track and match Purchase Requisitions. Process manual checks throughout the day. • Work within COGNOS system for G/L and Payment Reports. • Responsible for Monthly Close of Accounts Payable invoices. • Run weekly checks for Transportation Payable Department and log data. • Run Daily checks and international wire payments for A/P. • Filing of processed checks. Sort mail. General back-up to other positions within the Account Payable Departments. Qualifications: • High School graduate • At least 4 years experience in Accounting, and/or Accounts Payable, and/or Payroll • Intermediate Excel skills. Some basic formulas required. • Basic math skills to calculate retro pay and garnishments Authority: • Super Admin access in UltiPro • Backup Payroll Processing • Revise and audit invoices • Print checks • Void and reissue checks if required • Close the Accounts Payable Trade files at month end • Access the check signer • Competitive wages and benefits package, including 401K.
